Personal Information collected by us and what we do with it

In line with The Sixth Form College Colchester’s privacy policy we need certain information from/about you in order to produce your identity pass which proves your registration, or employment, with the college and your right to be on site and gives access to library facilities.

Information required includes name, date of birth, student or employment number, email address and identifying photograph.

The personal information collected is only used in connection with the production of your college identity pass and is not shared with any third parties (ie. other than appropriate and authorised Sixth Form College Colchester employees).

Personal Data Collection

The only personal data supplied via this website is an identity photograph. All other personal data required for the production of the mandatory Sixth Form College Colchester pass is supplied electronically by the college. In exceptional circumstances this data may be collected by post or email.

Keeping personal information secure

We have appropriate security measures in place to prevent personal information from being accidentally lost, used or accessed in an unauthorised way. We limit access to your personal information to those who have a genuine business need to know it. Those processing your information will do so only in an authorised manner and are subject to a duty of confidentiality.

We have procedures in place to deal with any suspected data security breach.

What gives us the right to process this personal data?

We process this information to comply with the College’s contractual obligations to you. How long will we retain your data?

We will retain personal data for as long as required by the College. In certain instances we may be required to keep personal data for a longer period for combatting fraud, where it relates to a legal case or claim, or we are under instruction from police authorities or there is some legal or contractual obligation so to do.

We will always seek to comply with your request however we may be required to hold or use your information to comply with legal duties. Please note, your request may delay or prevent us delivering a service to you. For example, it would not be possible to delete your data whilst you remain enrolled at The Sixth Form College Colchester.
